WHAT TO PROVIDE WHEN REQUESTING SERVICE

A successful process-serving assignment starts with good information. Providing complete, accurate details at the beginning allows the process server to review the assignment, understand the requested timeline, identify the correct service location, and begin attempts without unnecessary delays.

Not every assignment will require every item listed below, but this checklist can help law firms, businesses, government agencies, and private clients prepare a service request before submitting it to IronServe Legal.

1. PROVIDE THE DOCUMENTS TO BE SERVED

Start with complete, legible copies of the documents that need to be served. Before submitting the assignment, make sure all pages are present and that the documents you provide are the documents you intend to have served. If there are multiple documents in the service packet, submit the complete packet together whenever possible.

2. PROVIDE THE SUBJECT'S COMPLETE NAME

Provide the full name of the person or organization to be served as it appears in your assignment or legal documents. If the subject is known by another name, nickname, former name, or business name that may reasonably help identify the correct person, include that information as well.

3. GIVE THE BEST-KNOWN SERVICE ADDRESS

Provide the most current physical address available. Include the street number, street name, city, state, ZIP code, apartment or unit number, and any other information needed to identify the correct location.

For apartment communities, gated properties, secured buildings, or rural locations, building numbers, gate instructions, landmarks, directions, or other lawful access information may prevent an avoidable unsuccessful trip.

4. INCLUDE ALTERNATE ADDRESSES WHEN AVAILABLE

If you have a second legitimate address associated with the subject, include it with the assignment. An alternate residence, workplace, or other appropriate location may become useful if the primary address proves outdated or unsuccessful. Clearly identify which address is primary and which addresses are alternatives.

5. IDENTIFY THE DEADLINE

Deadlines are one of the most important pieces of information in a service request. If the documents must be served or attempted by a particular date, state that date clearly when submitting the assignment. Do not assume the deadline is obvious from the documents themselves.

6. SELECT THE APPROPRIATE SERVICE LEVEL

IronServe Legal offers Standard, Rush, and Immediate service options. The appropriate level depends on the time available, the circumstances of the assignment, and how quickly the first attempt needs to begin. If a deadline is approaching, identify it when submitting the request so the appropriate service level can be selected.

7. PROVIDE HELPFUL IDENTIFYING INFORMATION

When available and relevant, identifying details can help a server determine whether the correct person or location has been found. Useful information may include a general physical description, approximate age, vehicle description, employer or workplace information, or other lawful details connected to the assignment.

8. INCLUDE WORK SCHEDULE OR AVAILABILITY INFORMATION

If you have reliable information about when the subject is commonly at a residence or workplace, include it. Known work hours, shift schedules, or typical availability may help the server plan attempts more efficiently. Schedules can change, so this information is helpful background rather than a guarantee.

9. TELL THE SERVER ABOUT ACCESS ISSUES

Some locations present access challenges that are useful to know in advance. Examples include gated communities, controlled-access apartment buildings, secured businesses, rural properties, difficult-to-find entrances, or locations where parking and entry are restricted.

10. IDENTIFY RELEVANT SAFETY CONCERNS

If you are aware of a specific safety concern associated with the location or subject, communicate it when submitting the assignment. Provide factual information rather than assumptions or speculation so the server can approach the field assignment with appropriate awareness.

11. INCLUDE SPECIAL INSTRUCTIONS CLEARLY

If your assignment includes special instructions, provide them in writing and make them easy to identify. Examples may include a preferred location to attempt first, a request to contact the client before attempting an alternate address, or other assignment-specific directions.

12. PROVIDE A RELIABLE CLIENT CONTACT

Include the name, telephone number, and email address of the person who should receive questions and status information about the assignment. This is particularly important when a quick decision may be needed after an unsuccessful attempt or unexpected development.

PROTECT SENSITIVE INFORMATION

Provide the information necessary to complete the assignment, but avoid sending unnecessary sensitive personal or financial information through ordinary web forms or email. Unless specifically required and transmitted through an appropriate method, avoid including full Social Security numbers, complete banking information, payment-card numbers, passwords, or other unrelated confidential information.

WHAT IF YOU DO NOT HAVE ALL OF THIS INFORMATION?

An assignment does not necessarily require every possible detail. In many cases, a correct name, usable service address, complete documents, deadline, and clear instructions provide the essential starting point. Additional information becomes particularly valuable when an address is uncertain, the subject may be difficult to identify, or previous attempts have been unsuccessful.

BEFORE YOU SUBMIT: A QUICK CHECKLIST

Before sending a service request, confirm that the documents are complete and legible, the subject's name is correct, the best-known address is accurate, the deadline is clearly stated, the requested service level fits the timeline, and any relevant access or special instructions have been included. A few minutes spent reviewing the assignment at the beginning can prevent avoidable delays later.
